Administrative Assitant to the Principal
POSITION PURPOSE: To assist in performing a variety of responsible and confidential duties to support the day-to-day operations and functions of the school, including support to students and their families, staff and administration.
ESSENTIAL FUNCTIONS:
- Serves as the principal's administrative assistant.
- Organizes substitute teachers and support staff.
- Is responsible for coordinating parent teacher conference assistance and graduation assistance.
- Welcomes and greets the public: students, parents, school personnel and other patrons.
- Processes telephone, written and electronic communications.
- Directs calls/communications to appropriate personnel.
- Serves as a source of information and a communication link and between administrators, staff, parents, at the request of administration.
- Maintains correspondence, student records, reports, confidential files and other documents.
- Assists administration in creating and coordinating advertising, marketing, and promotional activities related to school matters.
- Keeps student files up to date (electronic and cumulative records).
- Responsible for assisting in completing assigned state and federal reporting related to school operations.
- Performs other duties at the request of the building principal.
REQUIREMENTS:
- Must be at least 18 years of age
- High school diploma or GED
- Some college preferred
- Bilingual skills will be given preference
- 1-year related experience and/or training; or equivalent combination of education and experience.
QUALIFICATIONS:
- Strong oral and written communication skills
- Excellent proofreading, writing, and grammar, spelling, and word processing skills
- Highly motivated and open-minded; a self-starter who will assume initiative and responsibility for projects while being open to change and/or the suggestion of others
- Excellent organizational skills with the ability to prioritize work assignments and flexible enough to cope with unexpected changes
- Knowledge of and ability to utilize technology to accomplish a variety of work tasks, including familiarity with a variety of software programs (i.e., e-mail management, data base management, Excel financial management, web-based programs, etc.)
- Ability to build rapport, possess interpersonal communication skills with co-workers, staff members and patrons, friendly & helpful disposition
- Ability to work accurately in a fast-paced work environment and maintain confidentiality in all school matters
- Follows up, follows through, and completes tasks
- Ability to function and contribute to a team atmosphere.
HOURS: 52 weeks per year; 40 hours per week, daily hours 7:30am - 4:00pm
SALARY: $15.00 - $15.50, rate is dependent upon education and/or experience. Those with a degree are eligible to receive up to an additional $1.00 per hour.
