Administrative Assistant - Finance

 

POSITION PURPOSE:  Assists in the administration of the financial policies and processes of the School District Office of Finance and processes all Accounts Payable.  The incumbent will support the District Office of Finance in operations, ensuring proper and robust financial records are kept.   The Administrative Assistant will also assist with regular and timely financial reporting to the Administration and the Board.

 

ESSENTIAL FUNCTIONS: 

  • Processes invoices and payments in compliance with financial policies and procedures and serves as the primary Accounts Payable liaison.
  • Performs a variety of responsible, complex, and confidential administrative and financial duties.
  • Prepares statistical, financial, and administrative reports and presentations for the Board of Trustees, Audit Finance Committee, faculty, staff, students, and/or specific groups as requested.
  • Collaborates with various Executive Office personnel to ensure that the schedule, and routine administrative duties are executed with quality and within timelines.  This support is primary to Executive Director of Finance.
  • Ability to graphically present complex financial and other information in an informative manner to non-financial individuals or groups.
  • Analyzes and solves problems using information from precedence and procedure. Requires strategic abilities and innovative thinking.
  • Schedules and attends meetings as necessary; take and disseminate minutes and information as needed.
  • Develops recommendations for improving operations.
  • Composes, edits, and distributes correspondence according to guidelines and/or personal knowledge of the subject matter.
  • Assists with the Finance, Purchasing and other departments that directly report to the Executive of Finance.
  • Other duties as assigned.

 

REQUIREMENTS:       

  • Must be at least 18 years of age.
  • High school diploma or equivalent.
  • Advanced Excel and Computer skills preferred
  • Bi-Lingual skills preferred.

 

QUALIFICATIONS:

  • Ability to prepare written reports and correspondence.
  • Ability to make good decision using procedures and policies.
  • Excellent written and verbal communication skills

  • Ability to type accurately at a minimum speed of 50 words per minute/1 error.
  • Ability to research to gain further information.
  • Ability to multitask range of tasks varied in scope and difficulty.
  • Advanced skills in Word, Excel, PowerPoint, and data bases
  • Possess understanding of finance and bookkeeping procedures.
  • Knowledge of School Finance preferred
  • Experience in use of ERP software preferred.
  • Excellent proofreading, writing, and grammar, spelling, and word processing skills
  • Highly motivated, self-starter who will assume initiative and responsibility for projects.
  • Excellent organization skills with the ability to prioritize work assignments and flexible enough to cope with unexpected changes.
  • Knowledge of office equipment including personal computer, laptop, a variety of software, e-mail management, data base management, Excel financial management, fax, phone system, and copiers.
  • Ability to build rapport, possess interpersonal communication skills with others, staff members and patrons, friendly & helpful disposition.
  • Ability to work accurately and maintain confidentiality in all school matters.
  • Ability to deescalate concerns with community and staff members.
  • Follows up, follows through, and completes tasks.

 

WORK CALENDAR:  52 weeks; 40 hours per week; Daily hours 7:30am - 4:30pm

 

SALARY:  $15.00-$17.40, rate is dependent upon education and/or experience. (Schedule #20-1)
