Administrative Assistant - Benefits Specialist
POSITION PURPOSE: To contribute and ensure each staff member in the corporation receives prompt and accurate handling of all benefits. To assist in performing a variety of responsible and confidential duties to support the day-to-day operations and activities of the Human Resources Department and Payroll processes
ESSENTIAL FUNCTIONS: These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.
- Provides clerical assistance and support to the Director of Human Resource Services.
- Creates and coordinates advertising, marketing, and promotional activities related to benefits information.
- Provides clerical services for all insurance matters (i.e., maintenance of policy registers, premiums/claims for dental, medical, life, LTD, Flexible Spending, HSA accounts, etc.).
- Maintains retirement accounts - 403b, 401a, VEBA
- Assist Director of HR in developing and coordinating comprehensive wellness program.
- Answers phone and personal inquiries from applicants and staff related to benefits and general employment questions.
- Enrolls new employees in the insurance plans available for their position, as they become eligible.
- Plans, coordinates and monitors/supports the open enrollment process.
- Enters and updates all medical and/or dental information at insurance company website and employees benefit program.
- Enters and updates deduction information in payroll.
- Verifies & prepare premiums to be paid for medical, dental, life, LTD, etc.
- Communicates changes, sends yearly costs and receives payments of insurance premiums for retirees.
- HIPAA Privacy Officer along with Director of Human Resource Services
- Facilitates meetings related to Family Medical Leave Act (FMLA) benefits and monitors all FMLA leaves or other “health related” leaves of absence.
- Coordinates the Worker’s Compensation program for all employees.
- Coordinates the insurance committee and risk management committee meetings.
- Implements Return to Work Policy with employee
- Coordinate and plan retirement meetings with retiring employees
- Assists with the completion of all state/federal reports relating to personnel issues.
- Provide Superintendent, Chief Financial Office, Treasurer, Deputy Treasurer, health care providers with any necessary information in their related functions.
- Performs other duties at the request of supervisors.
REQUIREMENTS:
- Must be at least 18 years of age
- High school diploma or equivalent.
- Preferred degree in Human Resources or Benefits Services
- Preferred SHRM or PHR certification
- Preferred 1 year experience in benefits and/or human resources
QUALIFICATIONS:
- Strong oral and written communication skills
- Excellent proofreading, writing, and grammar, spelling, and word processing skills
- Highly motivated and open-minded; a self-starter who will assume initiative and responsibility for projects while being open to change and/or the suggestion of others
- Excellent organizational skills with the ability to prioritize work assignments and flexible enough to cope with unexpected changes
- Proficiency in utilizing technology to accomplish a variety of work tasks, including familiarity with a variety of software programs (i.e., e-mail management, data base management, Excel financial management, web-based programs, etc.)
- Ability to build rapport, possess interpersonal communication skills with co-workers, Board Members, staff members and patrons, friendly & helpful disposition
- Demonstrated ability to work accurately in a fast-paced work environment and maintain confidentiality in all school matters
- Ability to evaluate and examine processes and systems, related to smooth departmental operations
- Ability to deescalate concerns with employees and staff members
- Follows up, follows through, and completes tasks
- Ability to function and contribute to a team atmosphere.
- Ability to manage and prioritize multiple activities to meet deadlines under time constraints
- Ability to communicate orally and in writing sufficient to express ideas, thoughts and instruction clearly to employees, staff and coworkers.
- Comprehensive knowledge of principles and practices of personnel administration and benefits administration
- Ability to collaborate effectively on inter- and intra-agency levels
- Ability to understand and maintain program finances within an assigned budget, as directed
- Knowledge and experience with computer software and systems
- Exhibits patience, courtesy, respect, ethical conduct and tact when dealing with all people
- Ability to drive a car
POST OFFER TESTING REQUIRED
- Background checks producing acceptable BMV and criminal history reports required.
WORK CALENDAR: 52 weeks; 40 hours per week; 7:30am - 4:30pm
SALARY: $18:50-$20.00 per hour, rate is dependent upon education and/or experience. (Schedule #20-1.4)
