Administrative Assistant - Payroll Specialist

 

POSITION PURPOSE:  Performs duties necessary for the accurate and timely calculation and distribution of wages and salaries.    The incumbent will work in a fast-paced, deadline-driven environment.  The position requires constant concentration on a large volume of work which must be completed accurately within a limited time period.

 

ESSENTIAL FUNCTIONS: 

  • Processes payroll accurately and timely for 1200+ employees.
  • Manages workflow to maximize efficiency and completes a large volume of transactions on time to meet contractually obligated timelines.
  • Audits timesheets and contracts to ensure wages and salaries are properly distributed.
  • Researches, analyzes, and resolves all discrepancies, reporting to administration as needed.
  • Ensures accurate taxation and garnishment is applied to each account.
  • Interprets and applies Certified Collective Bargaining Agreement (CBA) for salary and benefits.
  • Completes, submits and analyzes end-of-month, fiscal year end, and other reports.
  • Conducts year-end reporting for W-2s etc.
  • Communicates with HR teams to make necessary changes/updates to accounts.
  • Composes, edits, and distributes correspondence according to guidelines and/or personal knowledge of the subject matter.
  • Ensures confidentiality and compliance in all legal and regulatory issues.
  • Assists with the Finance, Purchasing and other departments that directly report to the Executive Director of Finance.
  • Other duties as assigned.

 

REQUIREMENTS:             

  • Must be at least 18 years of age
  • Possess a high school diploma or equivalent
  • Minimum of 3 years related experience and/or training; or equivalent combination of education and experience. 

 

QUALIFICATIONS: 

  • Advanced degree in Accounting, Finance, or Business Administration preferred
  • Excellent and demonstrable computer skills with Microsoft and ERP type software
  • Solid working knowledge of tax code as applicable to withholding and labor laws as related to payment of wages
  • Knowledge of School Finance preferred
  • Bi-Lingual skills preferred
  • Good attendance record.
  • Strong focus on students, parents, and staff service.
  • Active problem-solving skills
  • Ability to make good decisions using procedures and policies
  • Ability to research to gain further information
  • Ability to multitask range of tasks varied in scope and difficulty
  • Advanced skills in Word, Excel, PowerPoint and data bases.
  • Possess understanding of finance and bookkeeping procedures
  • Excellent written skills including proofreading, writing, and grammar, spelling, and word processing skills
  • Highly motivated, self-starter who will assume initiative and responsibility for projects
  • Excellent organizational skills with the ability to prioritize work assignments and flexible enough to cope with unexpected changes
  • Ability to build rapport, possess interpersonal communication skills with others, staff members and patrons, friendly & helpful disposition
  • Ability to work accurately and maintain confidentiality in all school matters
  • Ability to deescalate concerns with community and staff members
  • Follows up, follows through, and completes tasks

 

HOURS:  Full year (52 weeks); 260 days per year; 40 hours per week, 7:30am to 4:30pm

 

SALARY:  $16.00-$20.00 per hour, rate is dependent upon education and/or experience.
